What is MusiCal for Schools?
Lesson-management software built for music teaching inside schools — timetabling across visiting teachers and campuses, attendance, parent and student communication, ensembles and a lending library, all in one place.
Who is it for?
Music coordinators, visiting (peripatetic) tutors, and the families of students learning an instrument. Each group gets their own view: coordinators run the whole programme, tutors manage their own week, and parents/students see their schedule and notes.
How much does it cost?
There’s one flat price per school — every feature included, unlimited tutors and students. No per-seat licensing, no tiers and no add-ons. We’re currently offering special launch pricing for schools joining now — get in touch for the current rate.
Do we need to install anything?
No. MusiCal runs entirely in the browser, so there's nothing to install, update or maintain. Coordinators, tutors and families all use it on computers, tablets and phones.
How do students get added?

By default, student accounts are created through enrolments. When a family enrols (or an admin adds a student), the enrolment is created with a status of “waiting” and no teacher attached — it sits in a clear queue until a coordinator reviews it and assigns a tutor, at which point it becomes active and lessons can be scheduled. This keeps you in control of who teaches whom.

Moving over from another system? We also provide a CSV import to migrate your existing student data in bulk, rather than re-entering everyone by hand.

Can parents and students log in?
Yes. Parents and students get their own portal showing the lesson schedule, their teacher's contact details, attendance, and homework notes. Families can also request a lesson cancellation, which notifies the tutor automatically.
Does it handle ensembles and group lessons?
Yes — group lessons and ensembles can have many students attached, and rehearsals sit on the same calendar as individual lessons, with conflict checking so rooms and tutors are never double-booked.
Does it have a lending library?
Yes. Track instruments, equipment and sheet music, see what's out on loan and what's overdue, and send automatic reminders to families when a borrowed item is due back.
What reminders and emails does MusiCal send?

MusiCal sends several emails automatically, so families stay informed without extra work for staff:

  • Lesson reminders — sent the day before a lesson to opted-in families.
  • Cancellation notices — when a lesson is cancelled (by the school or requested by a family).
  • Schedule-change notices — when a lesson’s time or date moves.
  • Overdue library reminders — when a borrowed instrument or book is past its due date.
  • Welcome & account emails — when families and tutors are first set up.

Every message is fully customisable— edit the wording, turn individual emails on or off, and add a custom signature. They all go out under your school’s name and branding.

Can we use our own branding?
Yes — MusiCal is designed to look like your school, not ours. Upload your logo, set your accent colour, and customise every automated email. Your branded login and enrolment pages, the family portals, and the emails they receive all carry your school’s identity.
Does it support schools with multiple campuses?
Yes. Tag each student with a campus, then filter the calendar and attendance reports by campus. This suits a school spread across multiple campuses — for example Primary and Secondary — where each can be viewed on its own or all together.
Does it track staff compliance?
Yes. Record each teacher's clearances (WWCC, insurance and similar) with their expiry dates, and MusiCal flags them on the dashboard before they lapse — so nothing slips through.
Where is our data stored? Is it safe?

Your data stays in Australia, on Sydney-based servers— your students’ and families’ information isn’t shipped offshore. Each school’s information is kept private to that school, access is limited by role, and data is encrypted in transit.

We will never sell or share your information, we don’t send you marketing emails, and there are no ads anywhere in MusiCal.

What are our school links?

Every school gets its own short, branded web addresses — for example:

  • musicalendar.app/yourschool — your branded sign-in page.
  • musicalendar.app/yourschoolenrol — your branded enrolment page for new families.

Set yours up in Settings → School links — ready for your website, newsletters or QR codes.

Can we try it before committing?
Absolutely. Try the live schools demo with no sign-up — explore as an admin, tutor or student. It’s fully interactive and resets to a clean slate every night.
How do we get started?

Most schools are up and running within a few days:

  1. We create your school’s account and your coordinator login.
  2. You customise MusiCal with your logo, colours and email wording.
  3. Add your tutors (by invitation) and students — import by CSV, or open enrolments to families.
  4. Set up your school links, then start scheduling lessons.
